Procedure for Application

•	Please send us, on a company letterhead, a full proposal regarding the promotion, including a floor plan / layout of exhibition, product description, the aim of the promotion, photographs of previous exhibitions, advertising in support of the promotion and the description of the activities on the stand.
•	Once you have confirmed dates we will need a certificate of public liability that covers you outside your normal premises. Dates of cover must be included.
•	The date preferred (running from a Tuesday till Monday).
•	Promotions in Menlyn Park Shopping Centre must be professional, of a world class standard and add value to the centre. Exhibitions that merely aim to take advantage of the traffic in the centre are not allowed.
•	If the proposal meets with the centre's standards, an appointment will be set up to discuss available dates.
•	Proposals can be faxed through to 086 662 3389, e-mailed to menlynsales@primelife.co.za / or delivered to centre management, situated on Parking Level 6, P6 of the undercover parking area. All proposals to be marked for attention of Lorraine Jacobs.

Set Up Times

To prevent congestion and interruptions whilst you set up; please ensure that your set up is done during the following times:

•	After 20:00 the day prior to your exhibition.
•	Before 8h30am on the date of commencement of your exhibition.
•	NB Height restriction at Menlyn is 1.8m and 2m width for all courts. Please ensure that your technical frames do no exceed this regulation.
•	Dismantling of stands takes place on a Monday after 19:00 to be completely dismantled by 20:00.

General Details Regarding Court Bookings

•	A promotion is only confirmed on receipt of a 50% non-refundable deposit. The balance to be paid 14 days prior to the commencement date.
•	A promotion is only confirmed once the exhibition agreement has been signed by the exhibitor, a witness and is in possession of the centre.
•	All necessary documentation - letter confirming public liability, a copy of I.D, floor plan and technical requirements must be submitted together with the contract.
•	A court is regarded as paid for once the exhibitor provides proof of payment. Deposits slips can be faxed to 086 662 3389.
•	All courts in the centre have a height restriction of 1.8 metres with the exception of Cavendish court.Please ensure that your technical frames do not exceed this regulation.
•	Sound equipment may only be used at the discretion of centre management.
•	Please ensure that all promotional and other technical items are set up within the demarcated carpet area. This is in line with our fire and security regulations.

The costs for the promotional courts and carpets are VAT exclusive; carpets are compulsory.

Packing Up

The exhibition court must be packed up and vacated no later than 20:00 on the last day of your exhibition as we have exhibitors coming in for the next day. NO EXCEPTIONS.

Eating is not allowed on the Courts and no boxes or litter should be left lying around on the Courts

Duration of the Exhibition

The exhibition must be manned at all times during the course of the exhibition whose times are the same as the centre's trading hours:

•	Monday - Thursday	09h00 - 19h00
•	Friday	09h00 - 21h00
•	Saturday	09h00 - 19h00
•	Sunday	09h00 - 17h00

Exhibitors are not allowed to roam the centre distributing leaflets, brochures or flyers.

Carpets found on site belong to the centre and must not be removed at the end of the exhibition.

NB: Please ensure that you bring your own requirement for exhibitions as we do not provide any. Cancellations must be made at least seven days prior to the exhibition (excluding weekends and public holidays) otherwise the exhibitor will be obliged to pay the full amount regardless or not of whether they will be exhibiting.

Sales

Sales are not allowed from the exhibition court. Management reserves the right to prohibit any sales from the exhibition court should they be in direct conflict with any of our tenants business interests.
